Setting Repository Email Notifications

To access the Repository Configuration area, Email Notifications page you must be assigned a Repository Role granting Manage Repository permission. See Assigning Security Roles for more information.

The iGrafx platform provides the option to notify document reviewers, approvers, and endorsers by email of a variety of cycle events for a repository. Users with repository administrator privileges can select from these email notification options.

To set up email notifications, go to the Email Notifications page by clicking Configuration, and then Email Notifications in the main navigation area, then selecting a repository, if necessary.

This page provides a set of check boxes for enabling email notifications as follows:

Enable Email Notifications

This check box serves as a master switch for all email notifications. Regardless of the settings of the other check boxes below, enabling this check box turns on all email notifications, and disabling it turns them all off.

Review Cycle Email Notifications

These check boxes enable email notification of review cycle events for reviewers and nominators

• When a document is nominated for review (for reviewers only)
• When the review is canceled (for reviewers, nominators, or both)
• When the review is completed (for reviewers, nominators, or both)

Approval Cycle Email Notifications

These check boxes enable email notification of approval cycle for approvers and nominators

• When a document is nominated for approval (for approvers only)
• When the approval is canceled (for approvers, nominators, or both)
• When the document approval is rejected (for approvers, nominators, or both)
• When the document is approved (for approvers, nominators, or both)

Endorsement Cycle Email Notifications

These check boxes enable email notification of endorsement cycle events for endorsers and nominators

• When a document is nominated for endorsement (for endorsers only)
• When the endorsement is canceled (for endorsers, nominators, or both)
• When the endorsement is completed (for endorsers, nominators, or both) 

Acknowledgement Cycle Email Notifications

These check boxes enable email notification of acknowledgement cycle events for acknowledgements and nominators

• When a document is nominated for acknowledgement (for acknowledgers only)
• When an acknowledgement is canceled, paused or resumed (for nominators only)
