Modifying non-iGrafx (External) Repository Files

iGrafx repositories can manage both iGrafx documents and External Files. For example, a process diagram shape might reference operating procedures that are documented in a Microsoft Word document. With iGrafx, both the diagram and Word document can be stored and linked together in the repository.

When modifications are required, you can check out, modify, and check in External Files in a similar manner to iGrafx documents.

Follow these steps to modify repository-hosted External Files:

  1. In the repository tree, click to select the External File you wish to modify
  2. In the right frame:
    1. Click CHECK OUT
    2. Click DOWNLOAD FILE
  3. The file will be downloaded to your "Downloads" folder. Your browser should provide a shortcut to open the file.
  4. Open the file in the appropriate application (e.g. Microsoft Word for a .docx file)
  5. Modify the file (you may need to click Enable Editing first) and save it to your hard drive
  6. In the iGrafx Platform, right frame, click CHECK IN
  7. From the "Upload a new version" dialog:
    1. Check Do Not Upload New File if you only changed the file Summary or Purpose (for the iGrafx Platform object)
    2. Click CHOOSE FILE
    3. Navigate to the file you saved on your hard drive, select it, and click Open
    4. Check Keep Checked Out if you wish to make a new version of the file and continue making file modifications
    5. Click CONTINUE
    6. Set additional Properties as desired
    7. Click FINISH

It's possible to create a new version of an External File without checking it out. To do so, follow the above steps but skip the CHECK OUT command and click UPLOAD A NEW VERSION instead of CHECK IN. The disadvantage of this method is that a colleague can modify the document while you are working on it.
