View and refine a report

Adjust how a report's results display — sort the rows, filter columns, and set per-type view options. These refinements change only your view; they don't change the saved report, so other readers aren't affected.

Prerequisites

  • A report you can view.

Steps

The options available depend on the report type.

Sort and filter a list or text-search report

  1. To sort by a column, click the up or down arrow in that column heading. Clicking it again reverses the order.
  2. For multi-level sorting, click Sort by. Choose a Column and an OrderSmallest to Largest or Largest to Smallest — then click Add Level to sort within that by another column.
  3. To narrow what's shown, type in the filter field under a column heading. Only rows that match stay visible.

Load all rows

A large list or text-search report loads the first 1000 rows and shows a notice such as "Showing 1000 out of 4500 results." Click Show all items to load the rest.

Set matrix view options

  1. On a Generic Matrix report, click View Options.
  2. Use Show Relationships to show all the report's relationships or only one of them in the grid.
  3. Select Include All Objects to list every object in the rows and columns, or clear it to show only objects that have an intersecting relationship.

Set Risk Map view options

On a Risk Map report, click View Options to set:

  • Impact Headers — None, Left, Right, or Both.
  • Likelihood Headers — None, Top, Bottom, or Both.
  • Matrix cell titles — No Cell Title, Only name, Only value, or Name and value.

Limitations

  • Sorting and column filters apply to Generic List or Table and Text Search reports. Generic Matrix, Risk Map, and narrative reports don't offer them.
  • Refinements apply to your view only. To change what every reader sees, edit the report's settings — see Create a report.
