View and refine a report

Adjust how a report's results display — sort the rows, filter columns, and set per-type view options. What you change is yours alone and lasts until you load the report again. When you have the report checked out, your sorting and filtering become part of the report's settings, and everyone else opens the report with them once you check it in.

Steps​

The options available depend on the report type.

Sort and filter a list or text-search report​

  1. To sort by a column, click the up or down arrow in that column heading. Clicking it again reverses the order. Many subproperty columns — the ones nested under another column heading — can be sorted too. Sorting by one at the top level lists an object once per value it holds in that column; at a lower sort level it reorders the values within each row instead.

  2. For multi-level sorting, click Sort by. Choose a Column and an Order — Smallest to Largest or Largest to Smallest — then click Add Level to sort within that by another column. The Column list names a subproperty column after the path to it, such as Responsible > Resource.

  3. To narrow what's shown, use the filter under a column heading:

    • A text column has a field to type in. Values that contain what you type match.
    • A column with a fixed set of values, such as an enumerated property or a Boolean one, has a dropdown of checkboxes. Select (No value) to keep the rows that hold nothing in that column. Selecting nothing, or selecting every value, leaves the column unfiltered.

    Only rows that match stay visible, and within a row iGrafx hides the values that don't match — a cell that held several values shows only the matching ones, and an object with no matching value drops out of the report.

Load all rows​

A large list or text-search report loads the first 1000 rows and shows a notice such as "Showing 1000 out of 4500 results." Click Show all items to load the rest.

Set matrix view options​

  1. On a Generic Matrix report, click View Options.
  2. Use Show Relationships to show all the report's relationships or only one of them in the grid.
  3. Select Include All Objects to list every object in the rows and columns, or clear it to show only objects that have an intersecting relationship.

Set Risk Map view options​

On a Risk Map report, click View Options to set:

  • Impact Headers — None, Left, Right, or Both.
  • Likelihood Headers — None, Top, Bottom, or Both.
  • Matrix cell titles — No Cell Title, Only name, Only value, or Name and value.

Limitations​

  • Sorting and column filters apply to Generic List or Table and Text Search reports. Generic Matrix, Risk Map, and narrative reports don't offer them.
  • Sorting and filtering you change while reading a report are yours alone, and the report's defaults come back when you load the page again. That applies on the report itself and on its settings tab.
  • When you have the report checked out, the sorting and filtering you set become part of the report's settings. Like any other setting, they reach other readers only when you check the report in — see Create a report.
