View an item's history

Every item records what happened to it. The History tab shows that record and, for versioned items, lets you work with versions.

Prerequisites

  • The See History item permission on the item. Versions that aren't approved additionally need the See Unapproved permission.
  • Changing approved versions requires the Administer permission; rolling a diagram back requires Modify.

Steps

Read the timeline

  1. Open the item and select the History tab, then expand Timeline.
  2. The timeline lists the item's events newest first — creation, name and property changes, check-ins and new versions, relationship changes, and cycle events — each with a timestamp and the user who acted. Some entries offer extra controls to open details or compare content from historic versions.
  3. Use the search box to filter entries by any text, including check-in comments. On items that check in and out, the Show Versions toggle reduces the timeline to version changes.
  4. Download as Excel exports the complete history as an .xlsx file (filters aren't applied to the download).

Work with approved versions

On items that support approval cycles, the History tab also has an Approved Versions section listing current and past approved versions with their effective dates. With the Administer permission you can change the current approved version, revoke an approval's effective status, or schedule a version to become effective later — see Cycles.

Roll a diagram back

On web diagrams, users with Modify permission can return to an earlier version: select the circular replay-arrow icon (tooltip Revert to this version) next to the history entry. Rolling back removes nothing — it creates a new version with the old content.
